A website for associations and sports clubs with online member fees

Fixtures, teams and class sign-ups for everyone, and for members an area with fees paid by BLIK, a class list and reminders. The treasurer sees who paid, without a spreadsheet.

Polish association law and the club website

The legal form of an association changes what the website may offer. Most often it is about a merchandise shop. We write this as the website builder, not a law firm, so it is not legal advice.

    1. Member fees
    2. Donations, inheritances and bequests
    3. Income from activity and assets
    4. Public giving

Fees are the core of the assets

An association's assets come from member fees, donations and public giving, among others (art. 33(1)). The website takes fees and donations as separate payments.

  1. Ordinary associationMember feesDonationsPublic giving
    A shirt shop

An ordinary association has no shop

An ordinary (unregistered) association may not run a business (art. 42(1)(3)), so we do not build shirt sales on its website. It raises fees, donations and public giving (art. 42(2)).

  2. OrdinaryRegistered

    Running a business
A club shop on the website

    A registered association may sell

An association may run a business under separate rules, with income serving its statutory aims (art. 34). Then a club shop fits its form.

  3. Camp sign-up

    Photos of players

The image of a person who is only a detail of a whole, such as a public event, may be published without permission (art. 81(2)(2) of the Polish Copyright Act). A player's portrait is not covered by that exception, so we collect consent at sign-up.

The club website and the members area

Fans look for fixtures, parents for training times and members want to pay their fee. Everyone finds theirs in two clicks.

The club website: the next match, fixtures with an iCal subscription, the table, sign-ups with place limits, sponsors and the members area button
Sign-up for the Under-13 winter camp: 30 of 32 places taken, a waiting list once full, photo consent and the camp fee
  1. Fixtures and results

Matches, tournaments and events added in the panel, with export to the phone calendar.

  2. Sign-ups with limited places

Classes and camps with a place limit, a waiting list and email confirmation.

  3. Members area

Fees, payment history and sign-ups in one place, also for a parent paying for a child.

  4. Sponsors on the website

Sponsor logos and descriptions with links the club can show in its sponsorship offer.

What we connect the club website to

A few connections that save the treasurer and coaches the most time.

Club website

with the members area and the club panel

Money: Online payments, BLIK, Accounting export. Calendar and contact: Phone calendar, Email, Discord.

Online payments

Both ways
  • Fees, camp payments and donations as separate payment types.

BLIK

Both ways
  • The fastest way to pay a fee from a phone.

Accounting export

We send
  • A payment summary in the format the club's accountant agrees.

Phone calendar

We send
  • Fixtures and training as a calendar subscription in iCal format.

Email

We send
  • Fee reminders, sign-up confirmations and cancelled training.

Discord

We send
  • Club announcements on a server for esports and youth clubs.

A fee from setting it to the report

The treasurer does not copy transfers from statements, and members do not need to remember the account number. A member who prefers a regular bank transfer can still pay that way. The treasurer marks it in the panel with one click.

The treasurer's panel, October fees: who has paid, members and fees with the payment method, reminders and fee rules set by the board
  1. Board: Fee amount

Monthly, yearly or per season, with sibling discounts.

  2. System: Reminder

An email with a payment link before the due date.

  3. Member: Paying by BLIK

In the members area, through a payment operator.

  4. Treasurer: Status and report

Paid and overdue fees, export for accounting.

How we would build it for your club

We do not have a delivered sports club project yet, so we describe how one would run.

A football club with youth sections

Fees in a spreadsheet kept by the treasurer, fixtures on a social media profile and camp sign-ups through a form with no place limit.

What we build

  1. Fees

A members area with online fees

no fee in July, due on the 10th of the month

Fees checked by hand against statements

A treasurer who sees arrears at once

  2. Camps

Sign-ups with a limit and a waiting list

deposit 15 Nov, balance 15 Dec, camps 25-30 Jan, 1-6 Feb

    Too many camp sign-ups

A camp with a full, confirmed list

  3. Fixtures

A club website with fixtures and teams

3 Oct last result, 10-14 Oct fixtures

    Fixtures scattered across posts

    One place for fixtures

So the members area goes live before the first fee of the season. At the start we import the member list and fee status from the spreadsheet, so nobody starts from zero.
